Town of Bowness fonds

The fonds consists of by-laws, council minutes, agreements, development policies, assessment records, administrative files, building plans and specifications of buildings. When the Town was annexed each City of Calgary Department was incrusted to examine the Town's records and to incorporate the appropriate records into the Department records. The bulk of the Bowness municipal records were taken over by the Finance Department. Although they appear to have been largely unaltered, some files contain correspondence and other documents dated after the Town was annexed on 1964 August 15, indicating that they were used an updated by City of Calgary employees for a few weeks following the annexation. By-laws, council minutes, voters' lists and assessment cards were closed records at the time of annexation, and were unaltered by City of Calgary employees after the 1964 annexation. Series I: Consists of by-laws. Series II: Consists of council minutes. Series III: Consists of the Secretary Treasurer's files, which include correspondence, memoranda, reports, studies, briefs, receipts and invoices, maps, plans and drawings, and some publications. Series IV: Consists of agreements, draft agreements, and correspondence and other records related to agreements. Series V: Consists of assessment cards, assessment and tax rolls, tax arrears lists, and other records related to assessment, taxation, and other financial matters. Series VI: Consists of building specification and plans.

The fonds consists of by-laws, council minutes, the Secretary Treasurer's files, agreements, and assessment and tax records. When the Town was annexed each City of Calgary Department was incrusted to examine the Town's records and to incorporate the appropriate records into the Department records. The bulk of the Forest Lawn municipal records were taken over by the City Clerk's Department and the Finance Department. Although they appear to have been largely unaltered, some files contain correspondence and other documents dated after the Town was annexed in 1961 December. Both the Secretary Treasurer and the Town Engineer were hired as City of Calgary employees, and they continued to update a small number of files until 1962-1963. By-laws, council minutes, voters' lists and assessment cards were closed records at the time of annexation, and were unaltered by City of Calgary employees after the 1961 annexation. The fonds consists of correspondence, memoranda, reports, mechanical drawings, maps, and photographs. This inventory describes the records of the Director's Office and the Traffic Operations Division, It also includes the records generated by the traffic operations function while it was part of the Engineering Department, and the earlier records of the Traffic Engineering Department and the Traffic Division of the Engineering Department. These records document the activities of the divisions of the Department other than Calgary Transit and divisions functionally related to it, For records of Calgary Transit, LRT Construction Division, the Protective Services Division, and the Marketing and Community Relations Division, see the "Inventory to the Records of Calgary Transit". Series I: Consists of the Annual Reports of the Department and its predecessors. Series II: Consists of the correspondence for the Director of the Department, not yet processed. Series III: Consists of the correspondence of the Manager of the Traffic Operations Division, which was previously part of the Engineering Department, and prior ro that was the Traffic Engineering Department. These records date from 1956 to 1969. Series IV: Consists of the correspondence of the Manager of the Traffic Operations Division from 1970 on, not yet processed. Series V: Consists of files on inquests into fatal accidents which occurred on Calgary streets, 1964-1974. Series VI: Consists of files on Calgary's traffic signal installations, originating from the Signals Section of the Traffic Operations Division. Series VII: Contains various reports produced by the staff of the Traffic Engineer, 1956-1966. Series VIII: Consists of photographs used to document traffic operations, ca. 1960-1972.

XV Olympic Winter Games, Communications Group fonds

The fonds consists of 23 series, each of which is introduced by an "Administrative History" section and a "Scope and Content" note. Lengthier narratives have been added at the series level, rather than in the "Administrative History" of the Communications Group above. In some cases, added "Notes" complete the Series Descriptions. Series I and II are the records of the Vice Presidents, Communications Group: Frances Jackson Dover and Jared Joynt. Series III to XI contain the records of the Public Relations Division. The records of the Media Division can be found in Series XII to XIV, with Culture Division records in Series XV to XXII. An artificial series of publications, cultural historic items and other ephemera concludes the Series Descriptions. The records of the Communications Group are "multiple media," but the vast majority of the material is textual. Photo prints have been enclosed in acid-free enclosures and remain with their original files; oversize material (blueprints and plans) have been removed from their original files and placed in appropriate oversize storage. Notes have been added to indicate where this has been done. Listings of all oversize material from each series have been placed at the end of the "File Listing" section for each Series. Videos, sound recordings, film and computer diskettes may also be found in some of the Series. No special conservation measures have been taken for these media at this time. The main conservation problem in these records was that of facsimile documents. All "faxed" documents have been photocopied for the purposes of preservation. Where possible, newspaper clippings have also been photocopied for preservation purposes.

The City of Calgary Archives originally received about 21 linear meters of Finance Group records. These included textual and graphic records as well as magnetic computer tapes. As noted in the "Administrative History," the records received were generally not actual financial records. The Archives received no records documenting financial transactions, only records which were originally maintained by the Administration and Treasury Divisions. XV Olympic Winter Games, Governing Boards and Executive Group fonds

The records of the OCO'88 Governing Boards and Executive Group extend to over 21 linear meters and are multiple media in nature. The majority of the material is textual. Fonds consist of agenda and minutes of the Board of Directors and numerous committees, correspondence, reports, agreements, and assorted published and reference material. Besides those records mentioned in the "Extent" field, the records of the Executive Group include four oversize blueprints, two oversize plans and a musical score. The records of the Executive Group have been arranged into 14 series which are described in the printed inventory. XV Olympic Winter Games, Marketing Group fonds

The records of the Marketing Group are "multiple media" in nature, although they are predominantly textual which includes 10 programmes, 9 postcards, 3 newsletters, 1 bulletin and 1 musical score. The oversize material includes 160 plans (venue plans and site plans), three charts, two posters and one map. The Marketing Group records, particularly in the licencing series, also includes cultural historic items (or artifacts) such as product samples, graphics samples and souvenir samples. Wherever possible, smaller items/samples have been placed into acid-free enclosures and kept within the originating file. However, the larger, more awkward items (buttons, pins, etc.) have been separated out into their own file folders directly following the originating file. As in the case of oversize items, notes have been added to indicate when an item has been removed from the originating file. In all cases, cultural historic items have been noted in the file lists in the printed inventory. See the conservation note below for more information on the care of these records. Some files from the licencing Program (Series II in the printed inventory) have been restricted because they contained personal and/or company credit information. These records may be viewed with the permission of Archives management. Other documents, such as reports and correspondence, were originally designated as "confidential," but have not been restricted since the confidential nature of the material had relevance only during the active life of the Marketing Group. The Marketing Group records consist of over 21 linear meters of material, which have been arranged and described into ten series, with some of these series further divided into sub series.
